A demand letter is a legal letter which is used to claim compensation or to ask the recipient to perform corrective measures or undertake an action according to a commitment which can be contractual or due to some wrongdoing on the part of the recipient. There are a lot of cases in which a person is required to send a demand to another party which has been involved in a crime, breach of law or conduct and other matters such as insurance, accidents, rent, etc. Therefore, this letter has a lot of importance and reverence in legal matters.
Format of Demand Letter
This letter is like any other business or formal letter. Therefore, the format of the demand letter is more or less like that of a formal letter. However, unlike most of the formal letters, the tone and structure of the demand letter might vary according to the case, the relationship of the sender and the recipient and on whether the sender has to explain the case to the recipient or not.
This is the basic format of the letter irrespective of whether the sender intends to send an email or hardcopy mail to the recipient:

How to write a Demand Letter?
Most of the formal letters we write follow the same tone and structure. However, a letter can be quite different as the cases are mostly where the sender has to issue a formal warning or show his/her intent to the recipient. Also, the language used in the letter may not necessarily be polite as the regular formal letters. Here, the sender has to convey is the message in a direct and demanding way. Even though, the sender must not show rudeness rude, insulting, angry or emotional in the letter at all.
Here are the steps that you need to follow while writing a letter for demand:
Include facts and do not get judgemental – One basic rule which you have to follow while writing a letter is that you should include as many facts as you can which support your demand or claim. Also, do not get judgemental while stating the facts and do not threaten or insult the recipient in any way.
An angry tone or row of personal attacks can instigate the recipient to use a similar tone and this can make the dispute worse rather than resolving it. The main purpose of this letter is to solve an issue and that should be kept in mind at all times.
Be clear – The content of the letter should be precise and to the point and should encourage the recipient to take quick action. It must make the recipient think of the further course of action that needs to be taken on his/her part and also the action that can be taken by the sender if he/she decides to ignore the issue.
Also, if you are expecting the recipient to resolve the issue by paying a fine or compensation then state the amount clearly. Beating around the bush will only complicate things further which would waste both your time and effort.
State the deadline – You must clearly state the date when you expect the recipient to take the action or at least give a response to your letter. Mentioning a date will reflect that you have the intention of resolving the issue or matter on an urgent basis.
Also, in some cases, you might have to warn the recipient by stating that you can opt for legal remedies if the recipient does not agree or respond to your demands.
Make a copy of the letter – Always make multiple copies of this letter so that you can use it for further legal action.
Sample Demand Letter Example
There are many sample letters on the internet that can guide you while writing thia letter. However, while following a template or sample you must ensure that your situation and demand is similar to the one that has been described in the sample letter. Here are a few samples of this letter that might prove to be useful for you:
An attorney letter issues a serious warning to the recipient and therefore it must be ensured that the letter is received by the recipient. It is normally sent from a legal firm or attorney to make it a legal document for further course of action.
It must clearly state that the sender can pursue legal action against the recipient if he/she does not fulfill their demands. It is mostly used when the recipient is not responding to the letters and warnings issued by the sender.
